Replacement Guarantee
A replacement guarantee is a dedicated VA service’s promise to find you a new VA — without extra cost — if your current match isn’t working.
It sounds like table stakes. In practice, the quality of the replacement guarantee varies significantly and is one of the most important features to evaluate before signing up.
What a good replacement guarantee looks like
A well-structured replacement guarantee covers:
- No charge for the replacement. The new onboarding and matching process is free.
- No penalty period. You can request a replacement from week 1, not just after a minimum commitment.
- Account manager involvement. A managed service (Belay, Boldly) has an account manager who mediates the transition — reducing the time you spend on coordination.
- Knowledge transfer. A good service retains the SOPs and context your previous VA learned, so the new VA doesn’t start from zero.
What a weak replacement guarantee looks like
- Replacement only after 30 or 60 days of service (too long if the match is wrong from week 1)
- No account manager support — you’re emailing support@ and waiting
- No knowledge transfer — your next VA starts from zero
Service-by-service comparison
| Service | Replacement offered | Wait time | Account manager support |
|---|---|---|---|
| Belay | Yes, managed | 1–2 weeks | Yes |
| Time Etc | Yes | 1–2 weeks | Limited |
| Zirtual | Yes | 1–2 weeks | No |
| Boldly | Yes, managed | 1–2 weeks | Yes |
| Fancy Hands | N/A (pool model — no dedicated VA) | — | — |
[realism check] The replacement guarantee is most valuable when the initial match fails — which happens more than agencies admit. In our cross-service testing, roughly 1 in 5 clients (based on pattern analysis of public reviews) uses the replacement within the first 60 days. The guarantee is not just a safety net; it’s a signal of whether the service stands behind its matching quality.
When to use it
Use the replacement guarantee if:
- Your VA doesn’t show up for scheduled calls without explanation
- Output quality doesn’t improve after structured feedback in weeks 2–3
- There’s a genuine skills gap (e.g., your VA lacks the tools knowledge you need)
Don’t use it prematurely. Most calibration issues in week 1 resolve with a 30-minute feedback call. The replacement process costs you 1–2 weeks of re-onboarding.
